In light of in-person meeting restrictions necessitated by the COVID-19 pandemic, CMTBC’s 2020 annual general meeting (AGM) will be held online via Zoom. The AGM will be on Friday, November 27, 2020, from 12:00 noon to 1:15 pm.
The online meeting format will require some changes in procedure, as follows:
Pre-registration required for the AGM
The 2020 AGM is open both to CMTBC registrants and members of the public. Any person wishing to attend must email CMTBC at [email protected] with the words “AGM 2020 Registration” in the subject line, and their name and email address in the body of the email (the email address provided in the body of the email must be the one used to log in to the AGM on November 27). RMTs are also asked to provide their RMT number. Pre-registration allows CMTBC to control access to the AGM, and to ensure that it is only attended by those who should be there.
Pre-registration will be accepted until 4:30 pm on Thursday, November 26, 2020. However, meeting participants are encouraged to pre-register early as CMTBC’s Zoom license accommodates a limit of 500 users at one time. If demand exceeds that amount CMTBC will explore expanding access, but will only be able to do so if the need for additional capacity is evident in advance of the AGM.
Please note that signing into the AGM on the morning of November 27, 2020, will not be possible for those who have not pre-registered.
CMTBC’s Bylaws permit registrants to put forward non-binding resolutions for consideration by the Board. As in recent years, the Board will consider all resolutions put to it at the AGM, and will communicate its deliberations to the registrants in due course.
The Bylaws provide that “any 10 Practising Registrants in Good Standing may deliver a written notice to the Registrar at least 30 days prior to the date of [the AGM]”. In light of the COVID-19 pandemic, registrants are asked to send in any resolutions by email to [email protected], with the words “AGM 2020 Resolution” in the subject line. Because an email can only be sent from one email address, the body of the email should include the names and email addresses of the 10 RMTs putting forward the resolution.
Resolutions must be received by 4:30 p.m. on Monday, October 26, 2020, and will be posted on the CMTBC website by November 10, 2020.
Due to the online nature of the meeting, live questions will not be taken at the AGM. Instead, registrants are asked to send questions in advance to [email protected], including their name and RMT number in the email, and the words “AGM 2020 Question” in the subject line. Selected questions will be answered at the AGM; questions that cannot be answered at the AGM will be answered on CMTBC’s website in due course, following the AGM.
An agenda will be posted in early November. As required by the Bylaws, the agenda will include presentation of the financial statements and the auditor’s report.
